How we use your personal information for Vision Mobility Shops purposes

The Council provides services for local communities and the people who live in them.  Undertaking this work means that we must collect and use information about the people we provide services to and keep a record of those services. Because we collect and use personal information about individuals we must make sure that they know what we intend to do with their information and who it may be shared with. 

We have summarised in this privacy notice some of the key ways in which we use your personal information when purchasing aids and equipment from Vision Mobility Shops. This information should be read in conjunction with the Council’s corporate privacy notice.

1.    Who we are, what we do.

Vision Products isa supported business that is part of Rhondda Cynon Taf County Borough Council. 

Vision Mobility is a specialist shop selling mobility and independent living aids. We have a wide range of stock from the latest mobility scooters and profiling beds to simple aids to help you around the home. 

There are two Vision Mobility shops located in Aberdare and Pontyclun.

2.    What and whose personal information we hold?

The type of personal information we will hold relating to service users who purchase aids and equipment from our mobility shops will include:

  • Name, address and contact details – when placing an order with us and to arrange delivery of the aids / equipment.

  • VAT forms – Recording details of the client, equipment purchased and brief description of qualifying health condition or disability for VAT relief.

  • Payment details – for example, card details.

3.    Where does the service get my information from?

The personal information we process is received directly from you, our service user, when placing an order with us for aids and equipment, to arrange delivery of the goods, or when purchasing items that are in-stock at one of our Vision Mobility shops. This information can also be provided on the service users behalf by a relative, friend or support worker who is assisting someone to make a purchase.

4.    What we will do with your personal information?

We will use your personal information to process your order, including payment, and arrange delivery where necessary. In addition we will store this information to support warranty records and for audit purposes in line with financial legislation.

5.    What is the legal basis for the use of this information?

Data Protection law says that we are allowed to use and share personal information only where we have a proper and lawful reason for doing so. 

Our lawful basis for processing service user’s personal information when purchasing aids and equipment at one of our Vision Mobility shops is to fulfil our contractual obligations with the service user and legal obligations imposed by HMRC.

6.    Does the service share my personal information with any other organisation?

We will on some occasions share your name, address and contact details with a third-party supplier or subcontractor if they are delivering equipment directly or undertaking warranty repairs or maintenance.

Card payments are processed on behalf of Vision Products by Barclays bank. 

7.    How long will my information be kept?

All records relating to the purchase and supply of aids and equipment from any of our Vision Mobility shops will be kept for 7 years.

8.    Your information, your rights

The General Data Protection Regulation (GDPR) gives you important rights, including the right to access the personal information the services hold about you.
