Carers Support

How we use your personal information for The Carers Support Project
The Council provides services for local communities and the people who live in them.  Undertaking this work means that we must collect and use information about the people we provide services to and keep a record of those services. Because we collect and use personal information about individuals we must make sure that they know what we intend to do with their information and who it may be shared with. 

We have summarised in this privacy notice some of the key ways in which we use your personal information for The Carers Support Project. This information should be read in conjunction with the Council’s corporate privacy notice.

1. Who we are, what we do.

The Carers Support Project offers support to Carers of all ages.

 The type of support we offer to Carers can include:

  • Support Groups
  • Counselling services
  • Discount access to services such as Leisure
  • Emergency support
  • Newsletters, information and advice
  • Training and events
  • Assessment and support for young adult carers – between the ages of 18 to 25

2.    What and whose personal information we hold?

The personal information we will process in order to establish how we can best support you and your family is likely to include, but is not limited to:

  • Name
  • Address
  • DOB
  • Contact details
  • Details of your caring role

For young adult carers (18-25) with your consent, we will retain information relating to you and your family situation including health, and wellbeing information to establish what support we offer you.

3.  Where does the service get my information from?

We could obtain your information from a variety of different sources, which includes but is not limited to:

  • From yourself, for example, when you attend one of our events and sign up to receive information from us for future events.

From professionals, such as social workers, health professionals, teachers etc.

4. What we will do with your personal information?

We will use your personal information to provide you with Carers support services. By way of example, this may include:

  • Processing a referral we have received on your behalf for Carers support;
  • Creating an electronic record of your support on WCCIS.
  • Maintaining a mailing list for newsletter;
  • Provide you with information through the carers pack;
  • Work with other Council services and partner organisations to arrange the support that you require.
  • Commission any third party services that may be required, e.g. Action for Children, counselling service.
  • For young adult carers, we will use the personal information provided in your assessment to design and evaluate the support service we provide for you.

Please note that we may also use this information to produce management information and reports to help us improve our services and ensure that we are running our services properly. Typically, these reports will contain facts and figures and will not contain any information that identifies you, but we may use personal information to arrive at those figures.

5. What is the legal basis for the use of this information?

Data Protection law says that we are allowed to use and share personal information only where we have a proper and lawful reason for doing so.

Our lawful basis for processing this information in order to provide Carers support for adult and child carers is as follows:

 Adults

Article 6(a) Consent – An adult can consent to receive information from the Carers Support Service regarding future news, events.

Article 6(e) – Public task. An assessment can be undertaken for young adult carers to establish how we can support them.

Article 6(c) Legal obligations – To provide a service to meet the needs identified within the care and support plan in line with the Social Services and Wellbeing (Wales) Act 2014.

Article 9(g) Public interest – processing ‘special category’ – processing is necessary to undertake the assessment in line with the Social Services and Wellbeing (Wales) Act 2014

Children

Article 6(c) Legal obligations – To provide a service to meet the needs identified within the care and support plan in line with the Social Services and Wellbeing (Wales) Act 2014.

Article 9(g) Public interest – processing ‘special category’ – processing is necessary to undertake the assessment in line with the Social Services and Wellbeing (Wales) Act 2014.

6. Does the service share my personal information with any other organisation?

If you are an adult carer, we may share your contact details with other support services or training providers, if you have consented for us to do so.

If you are a child carer, and the service is required as a result of an assessment undertaken by law, we will share your information with the relevant service provider, i.e. Action for Children, who will support you with the needs identified in your care and support plan.

7. How long will my information be kept?

For adult carers we will obtain consent at the beginning to register you with the project and add you to our mailing list for newsletters. You may withdraw your consent to the newsletter at any time and we will provide information on how to deregister with each newsletter. Once you deregister, we will update our records to ensure that we manage your preference accordingly.

For adult carers, young adult carers and child carers, the records will be retained for 7 years after the end of involvement.

8. Your information, your rights

The General Data Protection Regulation (GDPR) gives you important rights, including the right to access the personal information the services hold about you.
